Introduction to the Owner Portal

Today’s topic is owner portals. What is the owner portal? This is the hub for you to interact with us and your property. So if you’re a new owner, it’s a good introduction to your portal. If you’re an existing client and you’re just not familiar with all the features of the portal, this video will be good for you as well.

Logging In to Your Owner Portal

As far as logging into your portal, you can log in whenever you want, but usually it’s going to be a result of getting an email from us. You don’t have to wait for this email though. You can log in 24 hours a day, 7 days a week, at midnight if you want to. If you don’t know the link or you don’t have a past email to hang onto, you can just come to our public website for our company (https://integrityrm.net). And if you just scroll all the way to the bottom, there is a link that says “Owner Portal“. If you’ve never logged in, you’re going to have to set a password. You’re going to put in the email address that you provided us that we’ve associated with your account, and then whatever password that you set.

So you’ll log in and it’s going to land you on the statements by default. You’ll see the statements go back as far as we’ve been managing your property. It has the date range for the statements and has a little button that says “Download Packet”. That’s going to download the statement and if we paid any maintenance invoice for you during that period, it’s going to have a copy of those as well. You’ll want to hold onto those for your income tax preparation at the end of the year. Some owners do this every month. Other owners just wait until they get to tax season and they go in and download them all. Whatever works for you. If you scroll to the bottom and you don’t see the date range you need, you probably just need to click the little button that says “get more packets” and that will continue showing whatever we have in our system for you. Alright, so that’s the statements tab.

Owner Contributions

This is the tab you hope you don’t need to use. This is where you’re sending us money. Ideally we’re going to send you money every month, but we might have a vacancy where some repair work needs to be done and we don’t have any cash flow on the property or if there’s a really costly repair – maybe a furnace has to go in and one months rent isn’t going to cover that cost – we’re going to need you to send money to us. So we have this ability so you don’t have to mail us a check. You click “Make a contribution” and you’ll put the dollar amount that you want to send to us. Then you can select your payment method which there are a couple ways. The eCheck method is the one we encourage since it is free. That’s just going to do a draft right out of your checking account. It’s the same as mailing us a check. The other option is to use a credit or debit card. There is a 2.9% transaction fee which does not come to us. That’s all charged by the third party provider and that’s the fee that Visa or Master Card or which ever credit card you choose to use charges. Just be aware that you’re going to have to pay that if you use that option. Otherwise use the eCheck and there’s no additional charge for that.

Inspections

There is another useful tab labeled “Inspection Reports”. As you’ve probably heard, we do periodic inspections on the rental properties that we manage and we want you to know that we’re doing those inspections as well as see the results of those. So in the video demo, we included a sample inspection report. This is the form we use in the field from either our smart phones or our tablets. You’ll be able to read the comments that we put in there and view any photos we take. We usually always take a photo of the outside exterior just to show you that we were there. And who doesn’t like to see their house? So, you can click on that – see the photos – and these stay in your portal forever. Feel free to take a look at them whenever you choose.

Documents

And the last tab is going to be the “Documents’ tab. You’ll find here your management agreement between you and us which establishes our management arrangement. Any lease agreement – whether it’s the current tenant or even past tenants going back 5 or 10 years – all those leases will be here. And you may need those sometimes, especially if you’re refinancing the house. Usually the lender will want to see a copy of your lease. So there’s no need to try and get a hold of us. You’re welcome to call us of course, but it’s usually faster to just self service and come in here tp download these at any time.
